PTSA Board Meeting Minutes- 2/20/25

Lincoln PTSA Meeting Minutes

Call to Order: Stacy called the meeting to order at 6:21pm 

Action Items:  Motion was made to approve the last meeting’s minutes, Amy seconded the motion, all in favor. Last meeting’s minutes were approved.

January Community Meeting Follow-up:

  • Great effort! Great turn out! Personalized and increased communication. 

  • CCL representatives and Allison continue communication for upcoming meetings, Stacy needs to send a follow up email.  

  • Question at meeting: Where is my money going? follow up info about grant items; Experiences selling scholarships

  • Positive feedback on access to shelley 

  • Preview for April: student leadership and BIPOC club come together  presentation

Committee Reports:

  • Nominating Committee

    • We have a treasurer Kristina Lukus-she has young kiddos

    • Anyone know Nicole Aro - new as a 4yo parent volunteer

    • No updates on secretary- use CCL invitations? Put the feelers out

  • Finance Committee: 

    • Repurposed student enrichment funds for teacher appreciation week and BASH

    • Teacher appreciation week coffee cart approval

    • Separate professional development from teacher grants- develop guidance on who gets what and support Shelley's goals. 

    • We will meet next month.

  • Membership committee: 

    • No major updates

    • Can recruit members at the next community meeting in April

    • Our role this year has shifted and evolved from previous years, no longer communications or managerial arm. So what are we here to do? 

    • Engage with the community in supporting the school. That makes membership more important, needs to be ready to go in August

BASH

  • Going back to public offering- other location did not work out Invisible city clubhouse in Santa Fe considered did not work out, owner never followed up and needed to secure public offering

  • How can we support stage? AV? 

  • We are getting an auctioneer- locked in, work with us on pricing model, they have done some schools, that feels good.

  • Could possibly use the patio? Consider noise ordinance issue.

  • Auctioneer comes with people to help manage the crowd, keeping engaged, pacing.

  • Need to figure out ASAP: Tix on sale march 14th.

  • Need to lock in what you’re getting with your ticket price (food truck, drinks, etc).

  • Working out plans for music; band vs smaller group (bluegrass, guitar, acoustic, etc.).

  • Need volunteers to reach out and lock in food truck, desserts; jimanos will do late night pizza.

  • Put a communication in ledger to ask for specific help for BASH.

  • Work on visuals on flyer for BASH.

  • Shelley is good with sending BASH specific emails a bit more frequently

  • Big needs are donations and planning

  • Desserts: crumbl cookies, insomnia cookies, duffeyroll?-Liz to call tomorrow 2/21.

  • Teacher auction opened and is doing well, have raised ~$4700.

  • Mini auction hasn’t had much movement

  • Donations: some community donations, one vacation home; donations due April 4th

  • Event will start at 7pm; presentation 8:30ish

  • Plan for board members to arrive at P.O. at 5:30 to help and support setup

  • There are some horse decorations that Mrs. Donnelson does not want and we can use them for decor

  • Ideas for games/activities themed for derby and for dash

End of Year Programming

  • Teacher appreciation/outreach-Sarah Forbes

    • need to figure out logistics for teacher appreciation week activities

    • trying to bring the car wash back; led by DLD dads

    • Sunday after BASH; chalking the school

  • End of year gift effort:

    • name placard for their room/door (tangible gift) + collect donations

    • try to spread our ask for donations with BASH being in May this year

    • teacher appreciation week: May 5-9th

    • last chance donations on 5/30

    • start the week of the 12th? 

    • Stacy and Amy will look into personalized gifts for staff

    • distribute gifts on the 2nd

  • Family MOVIE night:

    • looking at dates; May 30th? April 11th? 

    • if we do it now, we have the license, it’s good for 12 months so we could have it two times 

  • Volunteer Needs:

    • Field Day

    • Science Fair

    • Bike Rodeo (Amy Kenreich, Riley- leads); check on grant from infrastructure that usually comes in the summer (Amy applies for it?)

    • Sarah C to reach out to Ms. Hinton re: field day; confirm dates and if she wants to meet beforehand

  • Summer Engagement:

    • community engagement: i.e. meet up at Wash park on a saturday

    • let’s make some plans for easy community events 

    • sign ups for summer communication; PTSA newsletter-opt in to the PTSA newsletter 

    • questions re: back to school night (8/14-8/15?)

    • Back to school community picnic/Lincoln family picnic:  8/28 at Wash park at the picnic site closest to the playground

    • Summer meet-up at wash park playground?

PTSA Planning

  • PTSA Board Meeting Schedule:

    • making plans early so we have a good plan for going forward

    • meet with Shelley

  • LAPS:

    • we currently use givebacks which is free however it always prompts people to tip which goes to givebacks

    • trying out “Booster”- not free; they take 15% however this first year they guarantee they won’t take any more than 5% which is what you would likely be paying in fees

    • We would most likely take 95% of what we raise and they would only take 5%. They set up the website for us. They have a feature at checkout, it asks the donor for corporate matching which they say you can get a lot more through matching. 

    • we pay cc fees with givebacks on a $50 donation we’re paying 3.5% on fees

    • cc fee is covered in Booster

    • need to commit to Booster sooner than later due to capacity 

    • Stacy posed the question re: fundraising beyond our Lincoln community; is there an opportunity to reach community members outside the school (for example how Steele does the Wash Park Home Tour)- possibly partnering with other schools on this

    • What is something everyone loves? Dogs!

  • Goal Planning:

    • Infrastructure

    • recruiting and onboarding the new secretary and treasurer and making sure the transitions are smooth

    • submitting bylaws

    • July PTSA meeting budget

    • looking at our roles individually

    • positions are 2 year terms generally speaking

    • if you’re going to stay on, we can partner you up with prior member to start the transition process

Other Business

  • Next board meeting is coming up on the 3/13- thinking of making it virtual; 6-8pm (spring planning meeting)

  • Community meeting 4/24; switch internal meeting to 4/10 instead- if needed; will reconvene prior to and decide if we need to do it

  • nominations for positions need to be submitted by March 13th; 

  • next week meeting with Shelley; Wednesday 2/26/25, 2-3pm
