Lincoln PTSA Meeting Minutes

Call to Order: 6:05pm

Welcome Check In:

  • Reflecting on getting back from Spring break and managing end of year activities. Opportunities to unplug

BASH:

  • Org donation spreadsheet help, run booth for BASH, donation pick ups

  • Stacy: Let's reach out to find people who can also take this on. We are in this together

  • Lingering items that need finalizing: 

  • online auction goes live on 4/22, need to organize donations- could use support in getting that ready for posting in the next week.  

  • Need to spread the word, ticket sales are low, $5k in tickets- need to cover cost of event, could set up a table outside of school with a QR- people to run a table with a handout and temporary tattoos. 

  • Allison makes a sign up for tables. 

  • Auctioneer hiring, flat fee then a percentage- this would be helpful to pre-secure paddle raise donations- can manage through Zeffy- did email larger donors directly, paddle raises are tax donations as well- get employer match.  

  • CCL email, then Ledger 4/18 and school email on 4/22, 

  • Rory made a balloon arch in the past and will comp a ticket to Rory if she makes it. 

  • Meet with Shelley to discuss messaging. 

  • Volunteer needs check in- do we need more? day of minimal needs, sound issues? 

  • Stick around after to clean up, all hands on deck for clean up.   

  • Lara: need to think about thank you’s after BASH; do we like the way we’ve done thank you’s so far; ideas for a thank you from the staff/teachers/team; maybe have Shelley send out an email thanking everyone who donated and what it means/does for the school

  • Idea to get Lincoln stationary or use kid art-Mackenzie is going to help with this and Amy will connect with Mrs. Donnelson to see if we could engage the kids in making some art to print on on cards for thank you’s

  • Sarah R- will work on thank you’s to teachers for teacher experience donations

Spring Calendar + Information/Event Leads:

  • Sarah Forbes is leading/managing teacher/staff appreciation, Derek (?)-lincoln Dad, is organizing a teacher’s car wash; 

  • Earth Day lead is Aliza Lelah and she said there are some 5th and 6th graders that can fill in on that day.

  • Bike Rodeo is Weds, 5/14

  • Field Day is Thurs 5/22.  Ms. Hinton claims the event/runs it and lets us know how many volunteers are needed; volunteers to bring popsicles however it would be helpful to have more clarity here- how many should each volunteer bring; spread it out over the two days, etc. 

  • Also spring concert and art show (Amy is helping with lead on art show); PTSA doesn’t typically do much for spring concert. 

  • Amy Kenriech is on top of bike rodeo; she will send Sarah C the sign up genius; we have some of our PIE sponsors who are interested in having booths there; it will be plugged more in the next ledger;

  • Does Amy K have a co-lead or someone we can train this year since Amy won’t have kids at Lincoln and won’t be running it. There’s a point person helping Amy (Sarah Law?)- we could ask her about interest.

  • get some information from Amy K and Sarah L prior to our community meeting on 4/24 and share at the meeting that if we don’t have community support for this event, it will no longer happen.

  • Continuation- Amy is helping with 5th grade traditional and using Zeffy platform to fundraise for it; there more be more need in some classes for donation/funding; last year Rory reached out to Jimano’s and they donated to school wide continuation; Costco cake; there may be an option for donation from Costco; continuation in June; 

PTSA Community Meeting Prep + Committees:

  • Review of upcoming meeting agenda and items; address inclusion of teachers/staff- opportunities for future meetings; summer planning; 

  • we’ll have childcare at the next meeting; popcorn bar at next meeting

  • Invite CCL’s/class reps to the next community meeting; that was successful at the last meeting

  • Work on a PTSA communication 

  • Committee Reports: Membership Committee is meeting on 4/22; Finance Committee needs to plan next meeting date (TBD)

Other Topics: 

  • End of year teacher gift; what’s a good gift in addition to the cash gift they will receive- thinking of a multi-purpose bag that’s purple that has multiple pockets, etc. 

  • If you think of ideas for EOY teacher gifts, please send them to Stacy 

Other Business

Wrap Up:

  • Review of meeting points; people volunteering to help with BASH thank you’s and community meeting supplies/prep
