Lincoln PTSA Meeting Minutes

Call to Order: Stacy called the meeting to order at 6:23pm

Action Items:  Liz made a motion to approve last meeting’s minutes, Amy seconded, all in favor; Last meeting’s minutes were approved.

Announcements:

  • Meeting with Shelley for this week was postponed to next week which will look at the calendar for the upcoming year (2025-2026)

BASH Debrief:

  • Our leaders for BASH were unable to be here for this meeting and they will give their input at a later date

  • just over $81,000 total raised (before expenses)

  • live auction was up this year with the auctioneer; online auction was down from past years

  • music and drinks were good

  • Food was hard with this year’s food truck

  • soundsystem is still difficult at public offering; makes it really difficult to run the program

  • find a way to engage the staff more in the event

  • look at ways to increase attendance and increase variety of attendance

  • reframe it’s a fundraiser and it’s also a celebration of all that we give to our school already through volunteer involvement

  • Idea: suggested donation for tickets (if you can’t cover the cost, just pay what you can)

  • speak to other PTSA’s re: their experiences with this type of fundraiser and what worked well

  • Lara is still compiling her thank you list for BASH donations, etc. and needs help with writing and getting thank you’s out

  • Thank you cards are from Lincoln students’ art

Spring Review:

  • Teacher/Staff appreciation:

    • great reviews from our staff re: all of it, the food, coffee cart, car wash

    • Sarah Forbes was very on top of it and organized all of it really well 

    • Next year they may design a logo for it 

    • Late donor will provide an upcoming lunch for the teachers

  • Bike Rodeo:

    • This is Amy K’s last year doing bike rodeo

    • Need to find a new bike rodeo captain; someone to take over the lead on it

    • Amy has kept it very organized and it’s ready to hand off

  • Field Day:

    • Mrs. Hinton was very prepared and organized and it went really well

    • need a better first aid station; we had several little injuries and did not have adequate first aid

    • Sarah C will have more of a recap around volunteers

    • maybe change the location of the sponge race due to them running on the wet black top

End of Year Teacher Gift:

  • giving small ~2” pilia plants and a check and card

  • We’ll have the total this Sunday, Doug will start writing checks and we can start writing cards; waiting to find out when plants will be in 

  • Plan is to distribute on June 2nd 

Coordination of End of School Year Activities:

  • Yearbook Sales: 

    • next Thursday/Friday, 5/29, 5/30; we have about 20 books left to sell

    • Mr. Goldfarb is going to get some of the yearbook club to help

    • Twisted Alchemy- has lemon juice to donate and we could do a lemonade stand in conjunction with yearbook sales

    • also sell remaining merch at this time

    • Thoughts on mixing up the lemonade using our jugs and giving it out for free while selling merch and yearbooks

    • Mackenzie, Liz, Erick, and Allison to help Amy and Stacy with this effort (yearbook and merch sales) after school 

  • PTSA Move:

    • need to relocate all our PTSA stuff from the school

    • Josh (last name?) is a Lincoln dad works for DPS planning

    • At this point, all PTSA items need to be out of the school by the last day of the school year

    • Plan is to rent a storage unit temporarily

    • Think through days/times/shifts to transport items to

    • Start on 5/30, make a sign-up sheet to organize who is helping load and transport

    • Potential plan is to move everything down to the gym on Friday 5/30, then open the building to move it out on Saturday 5/31, then move it to the storage unit

Calendar:

  • 2025-2026 Calendar:

    • First day of school is on 8/18/25

    • Meet and greet will be the Wednesday before school starts from 3-4pm

    • We are asking to have a community social from 4-5pm

    • ”PTSA Popsicle on the Playground”-Membership Drive (Tent outside the school entrance)

    • Kindergarten playdate early on-need to get on the calendar (possibly 8/21- a Thursday)

    • 8/8 (Thursday) rented space at Wash Park to have a community outing open to the school

    • September:

    • BTSN is 9/3/25

    • Community meeting in September to approve budget

    • October:

    • Laps for Lincoln: October 3rd

    • Family movie night - will be on a Friday night

    • Fall Fest is the following Saturday

    • Stacy will send the tentative calendar out for feedback, extra set of eyes, etc.

Summer/Next Year Planning:

  • PTSA 101:

    • ideas are to meet in person initially and then record a video that can live on the website 

    • any time we have a gathering of people, take the 3 minute opportunity to plug the PTSA

  • Summer:

    • create the new budget

    • according to the bylaws, by the end of July, we are supposed to do an audit prior to creating the budget

    • gather the financial committee with both outgoing and incoming treasurers to create/review the budget

    • look specifically at the pantry program; we currently have more families in need 

  • Meet and Greet:

    • hopefully we’ll have more information after our meeting with Shelley next week

  • Communication:

    • We’ve talked about communication to membership over the summer to promote cultivation of relationships

    • how often do we want to communicate over the summer; what do we want to share

    • thoughts on cadence/content for membership emails

    • ”Lincoln Loop”

    • start with informal playground meet ups and restaurant nights over the summer 

    • July 4th at Wash Park Boathouse- do something to congregate together

  • Lincoln Loop

    • being informed; bi-weekly emails?

    • volunteering, donating, advocating

    • have fun, make friends, build community

    • kinder playdate

    • Membership drive (goal number?)

    • changing the fee of membership? Bump up price

    • discounts/deals available to PTSA members

    • send out a renewal reminder to prior members
